HR Payroll Software for Garment Manufacturing: How Safia Apparels Ltd. Moved Payroll from Days to Minutes
In a garment factory, every minute on the floor turns into attendance, overtime and pay. When that record lives on paper, mistakes are easy and trust is hard to keep. This case study shows how we built HR payroll software for garment manufacturing for Safia Apparels Ltd., an export-oriented apparel manufacturer, and what changed once attendance, overtime and payroll ran from one system

The challenge
Attendance and payroll depended on paper
Safia Apparels Ltd. is an export-oriented apparel manufacturer with more than 500 workers. Like many garment factories, it relied on paper and manual effort for the people's side of the business. Attendance was not tracked in a reliable way. Job cards were prepared by hand. Overtime had no dependable calculation, and every payroll cycle meant days of manual work. On top of that, the factory had to meet government labor law requirements, which called for accurate records and reports.
The moment it broke.
Every payroll cycle followed the same pattern. The HR team gathered paper job cards, worked out overtime by hand, and then compiled salary sheets and pay slips for more than 500 workers. The whole process took several days. Even a small error in overtime calculation could lead to payroll discrepancies, additional verification work, and questions from employees. Behind that routine, the factory faced three deeper problems:
Attendance tracking and job cards depended on paper
With 500+ workers, there was no reliable record of who was present and for how long. Job cards were prepared on paper, by hand, for each employee. That took time, and small mistakes were easy to miss and hard to trace.
Overtime could not be calculated reliably
Overtime is one of the most sensitive parts of garment payroll. Without trusted attendance data, the team had no dependable way to work it out. That made it harder to keep pay accurate, and harder to explain a figure to a worker who questioned it.
Payroll and labor law reports took days of manual work
Salary sheets and pay slips were compiled by hand, and one payroll cycle took multiple days. The factory also needed the reports that government labor laws require, and each one added more manual effort. HR spent its time compiling data instead of looking after people.
The solution
One system, three connected modules
We built HR and payroll software that connects biometric attendance, job cards, overtime and payroll. Every figure now comes from the same device logs, so each team works from the same numbers. To see how we approach this work, read about our HR solutions and our ERP for manufacturing approach.
Biometric attendance
Attendance built from the factory's own devices.
- Real-time sync with biometric access control devices
- Attendance for 500+ workers, no paper register
- Employee attendance management in one place
Job cards and overtime
Job cards and overtime from the same device logs.
- Employee-wise job cards generated by the software
- Overtime calculated automatically from device logs
- No manual card preparation
Payroll and compliance
Payroll and labor reports produced together.
- Payroll completed in a few minutes
- Salary sheets and pay slips generated automatically
- All government-mandated reports generated by the system
| What changed | Before | After |
|---|---|---|
| Attendance | Paper-based, with no reliable tracking | Real-time sync with biometric devices |
| Job cards and overtime | Job cards prepared by hand, no dependable overtime calculation | Employee-wise job cards and automatic overtime from device logs |
| Payroll | Multiple days of manual salary sheets and pay slips | A few minutes, with reports generated automatically |
| Compliance reports | Compiled manually to meet labor law needs | All government-mandated reports generated by the system |

Launch
Moved the team off paper and trained HR to run payroll.
Before this software, payroll meant days of work. We had paper job cards, overtime worked out by hand, and a lot of worry about getting every figure right. Now attendance comes straight from our biometric devices, overtime is calculated automatically, and payroll takes a few minutes. The labor law reports come out of the system too.
When attendance, overtime and payroll run from one system, payroll stops being a monthly scramble, and compliance reports are ready when you need them.
